The Update
CIHI has released new edit specifications effective for MDS records completed with a target date later than April 1, 2006. Some of the regulatory changes are as follows:
  1. The facility profile has been updated to no longer allow data to be submitted by diskette.
  2. Wording changes to question A9
  3. Validation messages have been added to prevent users from submitting a new admission record for a resident when a prior Admission has not had a discharge associated with it.
  4. The submission window has been modified to allow the user to sort the window by MDS target date in order to assist clients in identifying activity that occurs in the first 14 days of the quarter so that this information may be submitted in a timely manner for RWPD production.
  5. PDF forms for assessments have been updated to reflect the updated forms provided by CIHI.
  6. Inclusion of updated CCRS CMI sets

What Momentum is Doing

Momentum Healthware has prepared a new version of its MDS software (version 6.0) that is compliant with these new edits. This version will be posted for release to clients that submit to CIHI only in early April. This initial release will not be certified as the CIHI test environment will not be operational until June 1, 2006.

Momentum will certify its application in June and if necessary, another release that is CIHI-compliant will be posted. Clients will be notified by email once Momentum attains certification and whether another version of the software needs to be installed.

Recommendation to clients:
  • It is recommended that the clients complete data entry of Q4 data and records from the first 14 days of Q1 (those records which need to be submitted for RWPD reports) in the version of software that is currently installed
  • Once Q4 data is entered and successfully submitted to CIHI, the April release of the software should be immediately installed to allow Q1 records to be entered and validated using the new 2006 edit checks.
  • Q1 assessments entered prior to installation of the new software will not be validated using the new edit checks. If you choose to data enter and close records prior to installing the new version, you may choose to:
    • Reopen and close these records (after installing the new version) to initiate their validation
    • Run the Check Errors function from the Actions menu (after installing the new version) to identify records to validate the records. Only records with errors would need to be re-opened.
    • Submit them as is and correct and re-submit the records that are rejected by CIHI. This method is not recommended as it may result in significant numbers of rejected assessments.
  • If another CIHI-compliant release is posted in June, it should be immediately installed prior to submitting your Q1 batch to CIHI. Records would need to be validated in this situation as outlined in the above point.
